Supplier Statement Reconciliation Guide
Free GetTheDocs finance resource. Reconciliation identifies differences between a supplier's statement and the organisation's AP ledger. An unexplained difference is an investigation item, not automatically an error on either side.
Prepare comparable records
- Obtain the supplier statement for a defined as-at date and capture its opening balance, documents and closing balance.
- Extract AP ledger activity for the same supplier, entity, currency and period, including outstanding and cleared transactions where applicable.
- Retain the original source reports and the dates they were generated.
Match transactions
- Normalise invoice numbers for comparison without overwriting the original reference.
- Match by supplier, document type, invoice or credit reference, date and signed amount; investigate ambiguous matches rather than forcing them.
- Check credit notes, debit notes, settlements, deductions, part-payments and timing differences separately.
- Identify transactions on the supplier statement missing from AP and AP transactions absent from the statement.
Reconcile the balances
Use a signed, documented bridge: supplier statement closing balance, plus or minus supported timing and processing differences, equals the comparable AP control balance. Avoid comparing unlike dates or currencies.
Record decisions
- Assign each exception an owner, explanation, proposed action and follow-up date.
- Attach the invoice, receipt, remittance, credit note or statement reference used as evidence.
- Require independent sign-off according to materiality and organisational policy.
Common flags: duplicate documents, wrong supplier assignment, unrecorded credit notes, short payments, incorrect tax handling, FX and cutoff differences. Validate source records before changing the ledger.
Supplier statement reconciliation: worked example
Fictional educational example, not a workbook test. Both records cover the same supplier, currency and reporting date. Amounts below are positive amounts payable.
The supplier statement shows USD 12,500. Your AP ledger shows USD 10,000. Your source records confirm that a USD 2,000 payment and a USD 500 credit note are already recorded in AP but have not yet appeared on the supplier statement.
- Start with the statement balance: USD 12,500.
- Subtract the documented payment absent from the statement: USD 2,000.
- Subtract the documented credit absent from the statement: USD 500.
- The adjusted statement balance is USD 10,000, agreeing to AP: 12,500 − 2,000 − 500 = 10,000.
Retain the remittance, credit note and statement references. Confirm the supplier's treatment and the reporting cutoff before closing the reconciliation. The bridge explains the balance; it does not itself authorise a ledger adjustment or payment.
Does a zero difference mean every item is resolved?
No. An unexplained USD 400 invoice and an unrelated USD 400 credit can offset in the total while both remain unresolved. Review open items individually, with an owner, source evidence and a documented decision.
Supplier or vendor reconciliation?
Teams may use either term for comparing a supplier's statement with their accounts payable records. Use consistent supplier identifiers and preserve the original document references.
For related close checks, use the AP month-end reconciliation checklist. If the difference concerns received goods without a fully matched invoice, follow the GRNI investigation guide.
