An accounts payable Excel template can mean an invoice list, a reconciliation workbook or a set of financial control registers. Start with the decision your team needs to make, then check the workbook's inputs, review steps and limits before choosing it.
This guide compares the published GetTheDocs catalogue. Each system is a macro-free Excel workbook with a Worked Example edition and a Blank edition. The systems support your team's review; they do not authorise payments.
1. Define the problem before comparing dashboards
Write down one recurring question that your current process cannot answer reliably. For example: which invoices are ready for payment, why does a supplier statement differ from the ledger, or which month-end tasks still lack evidence? These questions need different records and controls.
| Your main problem | What to check | Relevant GetTheDocs system |
|---|---|---|
| Invoice balances and payment readiness | Invoice register, credits and payments, approvals and open queries | AP Command Center Pro |
| Supplier statement differences | Two-source matching, unmatched items, currency separation and review evidence | Supplier ReconMatch Pro |
| Goods received but not invoiced | Receipt ageing, over-invoicing exceptions and reconciliation to the general ledger | GRNI Intelligence & Aging |
| Blocked or queried invoices | Case owner, root cause, resolution evidence and independent close-out | Invoice ExceptionFlow Pro |
| Payment performance reporting | Reporting cutoff, on-time payment rate, ageing and cycle time | AP KPI & Performance Dashboard |
| Close tasks without evidence or review | Dependencies, deadlines, evidence references and reviewer sign-off | Month-End CloseControl Elite |
2. Test the workflow with a small, controlled example
Use the supplied Worked Example to understand the workbook before entering live business data. Follow an item from its source record to the exception or report it produces. Check what happens when an approval, evidence reference or required input is missing. Read the START HERE guide, HOW IT WORKS reference and settings before changing data.
Next, use a copy of the Blank edition for a small sample of your own records. Reconcile the input row count and totals back to the source. Confirm who prepares the records, who reviews them and where supporting evidence is kept. A dashboard alone does not establish that the underlying records are complete.
3. Decide whether a bundle fits the work you actually do
A single system is suitable when one defined workflow needs attention. A bundle is useful when your team needs several of its included systems. Compare the included products before buying so that overlapping needs do not lead to buying the same system twice.
| Bundle | Included systems | Current price in USD |
|---|---|---|
| AP Operations Essentials | AP Command Center Pro; AP KPI & Performance Dashboard; Invoice ExceptionFlow Pro | $249 |
| Reconciliation Intelligence | Supplier ReconMatch Pro; GRNI Intelligence & Aging; Invoice ExceptionFlow Pro | $229 |
| Fraud & Controls Suite | FraudShield Pro; Supplier Risk & Document Tracker; AP AuditReady Control System | $199 |
| Treasury & Multi-Entity Control | CashFlow & PaymentRun Planner; Multi-Entity Finance Control Hub; Month-End CloseControl Elite | $219 |
| FinanceFlow Ultimate | All eleven GetTheDocs finance systems | $899 |
FinanceFlow Ultimate includes accounts payable, reconciliation, GRNI, exception management, KPIs, supplier documents, control testing, cash forecasting, intercompany reconciliation, month-end close and fraud-risk screening. The eleven systems cost $1,259 when bought separately; the $899 bundle saves $360. It is a collection of Excel systems: do not assume an automatic data connection between workbooks unless the product instructions explicitly describe one.
4. Check compatibility, capacity and ownership
The published requirements are Microsoft 365 or Excel 2019 or later on Windows or Mac. These are macro-free .xlsx files designed for Microsoft Excel. Check the specific product page for sheet counts, record capacity and supported currencies. Compatibility with Google Sheets or other spreadsheet applications is not stated as part of these requirements.
Delivery is an instant ZIP download after purchase. The licence is for one organisation, with unlimited users within that organisation. Resale and redistribution are not permitted. A one-time purchase does not replace your organisation's access controls, backup process or responsibility for financial approvals.
Questions before you buy
Do I need the complete toolkit to reconcile supplier statements?
Start with Supplier ReconMatch Pro when supplier statement matching is your defined need. Compare Reconciliation Intelligence if you also need GRNI and invoice exception workflows. Choose the complete toolkit when the wider set of eleven systems fits your team's requirements.
Will a workbook approve or release payments?
No. Your team retains responsibility for approvals, investigation and payment release. The workbooks support human financial review and do not provide accounting, tax, legal or audit advice.
Can teams in the USA, UK, Canada, Australia and Ireland use these systems?
Assess the same Excel compatibility, workflow, capacity and licence requirements in each country. Currency support differs by product; verify it on the relevant listing. These workbooks are not presented as country-specific tax or statutory compliance systems.
